Most practice software is a set of modules that agree with each other only if somebody makes them. Vetmira is built the other way round. A thing that happened is recorded once, and everything that follows from it happens at the same moment.

Anyone past their appointment time with nobody checked in is flagged at the top. Visits still open from an earlier day are grouped on their own, rather than left in today's waiting room.

Each row shows how long that client has waited and what they owe, so the desk can answer both without asking anybody.

    The charges add themselves up

    Each item lands on the visit as it happens, next to what the owner approved, while the animal is still in the room.

    A product with no price charges nothing. The care is still recorded and the front desk adds the line by hand, because a made-up number on an owner's invoice is worse than a missing one.

    Going over needs a reason, not a click

    An extraction takes the visit past what the owner agreed to. Nothing can be issued or paid until somebody records why.

    One visit can produce two bills: the estimate you convert, and the medicines added on the day. Either looks reasonable on its own, so the approved amount is checked against both together.

People decline care they cannot pay for in one go

Split into what is needed, what is advised and what is optional, each priced on its own, so the owner can see a cheaper option instead of guessing whether one exists.

If your practice offers installments, the monthly figure sits next to the total. No lender, no application, no credit check.

They answer line by line on their own phone, not at the desk with somebody waiting. Every change is kept, so six months later you can still see what they were shown and what they declined, with the date and signature.

Scheduling and online booking
Included
Day view by provider, working hours, buffers, time off and a waitlist. Online booking starts off and you turn it on one service at a time, with approval first if you want it.
Client and patient records
Included
Species, breed, sex, sterilization, color, microchip and date of death. Owners and households, with one balance shared across a household's animals.
Encounters and signed clinical notes
Included
SOAP notes, vitals against species reference ranges, problem list, allergies and medications. A signed note is locked by the database rather than the screen, and corrections are amendments beside it.
Estimates, approvals and declines
Included
Needed, advised and optional priced as three choices and answered line by line. Versioned, so the prices an owner actually saw survive a revision. Staff can record the same answer by phone and the record says which.
Charge capture
Included
Giving a vaccine or dispensing a prescription raises its own line, keyed to the clinical event so a retry cannot charge twice. A product with no price records the care and charges nothing.
Invoicing, payments, refunds and household balances
Included
Invoices, deposits and refunds as rows with their own status, on an append-only ledger every balance is added up from. Card payment runs through your own Stripe account.
Running the day

Service recalls on time since a visit, vaccine recalls on the date the next dose fell due, on your lead times and in your wording. Deceased and inactive animals are excluded wherever one could be generated.
Owner portal, forms and consents

A link, no app, nothing to sign up for. Book, fill in forms, sign consents, message, open released documents, answer an estimate and pay. Anything binding asks for the password again, and self sign-up is off unless you turn it on.
Messages and document release

Threads that are one conversation whether opened from the chart or the Messages screen. You release a named document rather than everything at once, and every release is logged.
Client and patient-list migration

Clients, animals and who owns whom, with a dry run first: per- row errors, duplicate detection, reconciliation counts, and nothing written until you say go. Clinical history, appointments, invoices, payments and stock have no automatic path yet, and we will say what can be moved by hand before you commit. Exactly what the importer takes.

63 CSV files on request, checksummed and manifested, plus every uploaded document. Two things are left out: the species and breed reference lists, which are editable and therefore yours, and the history of importing into Vetmira. See the coverage tables.

Every screen and endpoint gated on a named permission, an append-only audit log that records reads as well as changes, and backups restored and compared every cycle. Two factor is required of administrators, and a practice can require it of everyone. The whole security position.

Limited, and what the limit is

Orders, results, prescriptions and dispensing
Limited
Orders from an encounter, results entered against them, released to an owner only when a veterinarian says so. Lab results import from your analyzer's own CSV; prescriptions dispense against a real lot. No direct analyzer integration is available today; results are imported from the analyzer's own CSV and reviewed in the chart. Nothing checks a dose or decides anything clinical.
Inventory and lot tracking

Your own catalog, priced and maintained without us. Lots carry expiry, movements are append-only, and dispensing picks a real lot at that site, earliest first. No controlled substance register and no DEA log.
Reports and financial views
Limited
Invoiced, collected, average paying invoice, approved against declined, no-shows, low stock and expiring lots. Each downloads as a CSV. Not a report builder, and nothing is scheduled or emailed.
Support and training
Limited
Free, from the person who wrote the software. Monday to Friday, 9 to 5 Eastern; outside those hours the mailbox is read with nothing promised. No response-time commitment, because one person cannot reliably meet one.

The owner

No app to install

A secure link opens in the browser already on the phone. The owner picks the pet, then books, fills in forms, signs consents, answers an estimate line by line, reads messages and opens the records you have released.

The practice adds the owner, the way it adds a client, so nobody outside your client list can create an account. One household, one balance: an owner with three dogs has one conversation about money.

One cat, one dental, six screens

The same account on the same phone, in the order it happens: Noodle is booked in for a dental on the fifteenth. There is no login here, so ask for a demo and somebody will drive it with you.

Open a thread from either one; both write to the same place. The owner replies in the portal.

Only a note that something is waiting leaves the building. The message itself stays in the portal, because even a subject line can hint at why an animal is being seen.

The certificate carries the animal, the owner, the product with its lot and expiry, and a line to sign. Anything missing still prints, marked missing.

The label carries the animal and owner together, the directions, the quantity and the refills left, on a thermal roll or on paper. It shows the weight the dose was worked from, and no opinion on whether that dose is right.

Two columns most systems cannot produce

Invoiced, collected and the average paying invoice, beside the value an owner approved and the value they declined.

Declined is a real number, not a guess: the owner answered line by line and each answer was kept against its line. It is care that was offered and turned down, which is worth knowing rather than worth eliminating.

Numbers that can be explained

Stock and money are a list of what happened, and nothing on it can be edited or removed. Every total is added up from that list rather than stored, so a balance can always be explained.

A signed note stays exactly as signed, with corrections as amendments beside it. Services, staff and animals are retired rather than deleted, so last month's invoice still makes sense.

Records are encrypted at rest, access is by role, and every change is logged where nobody can edit it.
